This Privacy Policy explains what personal information we process when you visit the Site or contact us, how we use it, and the choices you have.
What this policy covers. It covers the public Site and initial inquiries. It does not replace the privacy and confidentiality terms of a separate coaching agreement. If you enter a coaching engagement with us, that signed agreement governs the information covered by it.
1. Information we process
Information you choose to provide
If you email us, we process the information you send — typically your name, email address, and whatever you choose to tell us about what you're navigating and what you'd like to change.
Please do not send medical records, diagnosis or treatment information, financial account numbers, government identification numbers, passwords, or details about an emergency through the Site or ordinary email. The Rewrite provides coaching, not psychotherapy, medical treatment, diagnosis, or crisis care.
Technical information
When you visit the Site, our hosting and technical providers automatically process the standard request and device information needed to deliver, secure, and troubleshoot it. This may include an IP address, browser and device type, operating system, referring page, pages requested, and the date and time of the request.
Not active at launch
The current version of the Site does not include:
- user accounts or logins;
- payments or checkout of any kind;
- a website contact form;
- a native newsletter signup form;
- an active appointment-scheduling integration;
- Google Analytics, advertising pixels, session replay, or other nonessential analytics; or
- advertising or cross-site behavioral tracking cookies.
We will revise this policy before enabling a materially different collection practice, and where required we will provide an appropriate choice or consent mechanism first.
2. How we use information
We use personal information to:
- respond to inquiries and communicate with you;
- arrange an introductory conversation when scheduling becomes available;
- evaluate whether The Rewrite's services may be an appropriate fit;
- deliver coaching services you have engaged us for;
- operate, protect, maintain, and troubleshoot the Site;
- prevent fraud, misuse, and security incidents;
- keep necessary business records; and
- comply with applicable law and protect legal rights.
We do not use inquiry content to diagnose, treat, or provide emergency support. We do not send unsolicited marketing email.
3. Coaching, confidentiality, and boundaries
Coaching is not psychotherapy, medical treatment, diagnosis, or crisis care. It does not create a therapist-client or doctor-patient relationship, and it carries no legal privilege. If you are experiencing a mental health crisis, contact a licensed mental health professional or your local emergency service.
What you share in a coaching engagement is treated as confidential, and the specific terms — including the limits of that confidentiality — are set out in the written coaching agreement for that engagement rather than in this policy. Those limits ordinarily include disclosure where required by law and where there is a genuine risk of harm to you or someone else.
Employer-sponsored coaching. If an employer or organization ever sponsors or pays for coaching, what may and may not be reported back to that organization will be defined in writing in the applicable engagement agreement before the engagement begins.
4. When we disclose information
We do not sell your personal information, and the Site is not designed to share it for cross-context behavioral advertising. We may disclose information in these limited circumstances:
- Service providers. Providers that help us run the Site and the business — such as website
hosting and Google Workspace for business email — may process information on our behalf, subject to their own contractual and legal obligations.
- Professional advisers. Attorneys, accountants, insurers, or similar advisers, when
reasonably necessary for their services.
- Legal and safety reasons. Where we reasonably believe disclosure is required by law, legal
process, or a valid government request, or is necessary to protect rights, safety, or the integrity of the Site.
- Business changes. Information may transfer as part of a merger, financing, acquisition,
reorganization, or sale of all or part of the business, subject to applicable law.
5. Retention
We keep personal information only as long as reasonably necessary for the purpose it was collected, and then delete or de-identify it.
- Inquiry email. We keep inquiry correspondence for as long as needed to handle your request
and maintain ordinary business records, and delete or archive it once the inquiry is closed and no legal, dispute, or record-keeping obligation requires us to keep it.
- Website form submissions. If a contact form is enabled in future, we intend to delete or
de-identify submissions within 60 days of receipt, unless a longer period is reasonably necessary to complete a requested interaction, comply with law, resolve a dispute, or protect legal rights.
- Coaching records. Session records for an active engagement are retained for the duration of
that engagement and for a reasonable period afterward for continuity and legal purposes, as described in the coaching agreement.
- Technical records. Retained according to the operational and security configuration of the
applicable hosting or infrastructure provider.
6. Cookies and similar technologies
The current Site uses only storage and similar technologies that are strictly necessary to deliver and secure it. It does not use nonessential analytics, advertising, or session-replay technologies.
Because the Site does not perform cross-site behavioral tracking, it does not change its behavior in response to browser "Do Not Track" signals. We will update this section if our practices change.
7. External services and links
The Site links to third-party services, including Substack, LinkedIn, Instagram, and X. If you follow one of those links, that third party processes information under its own terms and privacy policy. We do not control those services.
If an external appointment schedule is added later, its provider will process the booking details you submit under its own privacy terms. We will identify the provider and describe the data flow here before activating that feature.
8. Security
We use administrative, technical, and organizational safeguards intended to protect personal information in light of its nature and how it is used, including reputable third-party providers for email and infrastructure.
No internet transmission or storage system can be guaranteed completely secure. Please use care in deciding what to send us by email or through the Site.
9. Your privacy choices and requests
Depending on where you live, you may have rights relating to your personal information. You may ask us to:
- tell you what personal information we hold about you;
- correct information that is inaccurate;
- delete information associated with you, subject to legal and contractual retention
requirements; or
- stop sending you non-transactional communication at any time.
To make a request, email the postal address below. We handle requests manually and may need to verify your identity before acting. We may retain information where permitted or required by law.
10. Adults only
The Site and our coaching services are intended for adults. Our services are offered to people 18 or older, and the Site is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided personal information through the Site, contact the postal address below so we can review and, where appropriate, delete it.
11. United States processing
The Rewrite operates in Arizona, United States. The Site and its providers process information in the United States. If you access the Site from another country, privacy laws and protections may differ from those where you live.
12. Changes to this policy
We may update this policy to reflect changes in the Site, our practices, or applicable requirements. We will post the revised policy with a new effective date and provide additional notice where the law requires it. A revised policy applies prospectively from its stated effective date unless the law permits or requires otherwise.
